Admin questions

Quick answers for carrier owners and admins about accounts, seats, trials, drivers, devices, log edits and optional features.

For admins

Who can do what in the portal?

The owner manages everything, including Settings > Users and billing. Carrier admins run the portal day to day: drivers, vehicles, devices, logs and edits. See Users and roles.

How do I add office staff?

As the owner, open Settings > Users and select Invite admin. They get a one-time link (valid 72 hours) to set their password, which you share with them.

How do vehicle seats work?

Each active vehicle uses one licensed seat. When all seats are in use you can't add or reactivate a vehicle until you deactivate one or add seats to your subscription. See Adding vehicles.

What happens when my trial ends?

If you haven't upgraded, the portal becomes read-only: you can still see everything but not make changes. Drivers are not affected: they keep logging hours of service, certifying their logs and doing roadside data transfers. See Creating your company account and free trial.

Do I need to register PT30s in the portal?

No. A PT30 appears under Drivers & fleet > ELD devices the first time a driver connects to it and syncs, and it is usually linked to the truck automatically. Check the links and fix any that are wrong. See Binding a PT30 to a vehicle.

Can I edit a driver's log?

You can propose edits; the driver must accept or reject them in the app. The original record is always kept, and automatically recorded driving time can't be shortened. See Logs and edits.

What is unidentified driving?

Driving recorded while no driver was signed in on the truck. Drivers can accept their own; you review and assign the rest. See Unidentified driving review.

A driver forgot their password. What do I do?

Open Drivers & fleet > Drivers and use Set password or Issue temporary password on their row. See Adding drivers.

A driver left the company. Should I delete them?

Deactivate them instead. Deactivated drivers can't log in, and their records are retained as the ELD rule requires.

How long are records kept?

ELD records and supporting documents are kept for at least 6 months, with a separate backup copy (49 CFR 395.8(k)(1)). See FMCSA compliance.

Why don't I see IFTA, alerts, maintenance or other features?

Some features are turned on per account: for example IFTA, alerts and geofences, maintenance, reports, documents, dispatch, safety, fuel and idle, assets, driver pay and the developer API. Core ELD functions (logs, hours of service, certification, edits, unidentified driving, roadside transfer and malfunctions) are always on. To turn on a feature, email hello@ezlogs.co.

Where can I see who signed in?

Compliance > Sign-in activity for the company, and Security in your avatar menu for your own sessions. See Sessions and security.
