Billing and your free trial

See your plan, vehicle seats, next invoice estimate and invoices, and what happens when a free trial ends or a payment is late.

For admins

The Billing page shows your subscription: the plan, how many vehicle seats you have and use, an estimate of the next invoice, and your invoice history. Billing is managed by EZ Logs. The page is read-only: there are no payment methods to store and no "pay now" button in the portal.

Important: Billing never affects drivers. Whatever the state of your subscription, drivers can always record hours of service, certify their logs and send records to an inspector at the roadside.

Who can see it

  • Owners and carrier admins can open Billing.
  • Support users see "Billing is not available here".
  • Only the owner sees the Upgrade button during a free trial.

Where to find it

Open Settings in the left rail, then Billing under Carrier. During a free trial you can also click the Trial: N days left badge in the top bar.

What the page shows

  • Plan: the plan name and subscription status: Trial, Active, Past due, Suspended or Canceled. A Complimentary tag means you are invoiced at $0.
  • Vehicle seats in use: active vehicles against licensed seats.
  • Next invoice (estimate): the expected total of the next invoice.
  • Plan and seats: price per vehicle per month (plus any monthly base fee), the current billing period, and the trial end and billing start dates during a trial. A Scheduled seat change notice appears when your seat count changes at the start of the next period.
  • Upcoming invoice (estimate): the lines behind the estimate (base fee, seats for the next period, and prorated charges for seats added during the current period). The issued invoice is what counts.
  • Invoices: invoice number, period, status (Draft, Issued (unpaid), Paid, Void), issued and paid dates, and total. Click an invoice number to see its lines.

Billing dates are calendar days in UTC, and the periods shown include both dates. Amounts are in US dollars.

Vehicle seats

Each active vehicle uses one licensed seat. When every seat is in use, you cannot add a new vehicle or reactivate a deactivated one until a seat is free. You can either:

  1. Deactivate a vehicle you no longer use on Drivers & fleet > Vehicles, which frees its seat straight away, or
  2. Contact EZ Logs support to add seats.

Seats are added by EZ Logs. Seats added in the middle of a billing period are charged pro rata on the next invoice. A seat reduction takes effect at the start of the next billing period, with no refund for the current one.

Free trial

A company that signs up on its own gets a free trial, 14 days by default. While the trial runs:

  • The top bar shows Trial: N days left, and the Billing page shows when the trial ends.
  • Everything in your plan works as normal.
  • No billing starts without a payment method.

Upgrading

  1. Sign in as the owner and go to Settings > Billing.
  2. Click Upgrade in the trial notice.

Note: Online payment is not connected yet. Clicking Upgrade shows a message asking you to contact EZ Logs support (hello@ezlogs.co) to continue after your trial. Admins who are not the owner see "Ask your account owner to upgrade."

When the trial ends

If no subscription has been set up when the trial ends, the notice changes to Your free trial has ended and the carrier portal becomes read-only:

  • You can still open every page and see your data.
  • Changes in the portal are blocked (adding drivers or vehicles, editing settings, sending edit requests and so on).
  • Drivers are not affected and keep recording, certifying and transferring logs.

Contact EZ Logs support to set up a subscription. EZ Logs can also extend a trial.

Late payment, suspension and cancellation

SituationWhat happens in the portal
Past dueA banner warns you and gives the date the portal becomes read-only, 14 days after the payment became past due unless it is settled. After that date the portal is read-only.
Suspended subscription or accountThe portal is read-only.
CanceledThe portal is read-only. No new invoices are issued.

In every case drivers and ELD recording keep working. To resolve a billing question or settle an invoice, contact EZ Logs support.
