Trailers, pairing history and reefer telematics

Register trailers, see which truck pulls each one and where it is, hook and drop from the office, and track reefer temperatures.

For admins

The assets pages track trailers and other non-powered equipment (dry vans, reefers, flatbeds, step decks, tankers, chassis and containers). You can see which truck each trailer is hooked to, where it is, its pairing history and, for reefers, its temperatures.

Before you start

  • Assets is an optional feature. If you do not see the Assets group in the menu, it is not turned on for your company; contact EZ Logs support.
  • Owners and carrier admins add, edit, hook, drop and import. Support users can see everything but cannot change anything. While your subscription is read-only, the pages are view-only too.
  • Drivers hook and drop trailers in the app. See Trailers.

Note: Hooking and dropping trailers is fleet data only. It never changes the driver's ELD records: the trailer number on the driver's log is what the driver enters or confirms in the app.

Where to find it

In the portal, open Operations in the left rail, then the Assets group:

The trailers list

The top of the page shows Trailers (with a count by type), Hooked now, In shop / out of service and Reefers. Select a card to filter the list.

The list shows each trailer's Status, the truck and driver it is Hooked to and since when, its Location and, for reefers, the last return air temperature against the setpoint. The location comes from the paired truck's live position, the place where it was dropped, or the trailer's own tracker, and says where it comes from (for example "via truck 101 · 5 min ago").

Use search and the Status, Type and Hooked filters to narrow the list, and Clear to reset them.

Add a trailer

  1. On Trailers, select Add trailer.
  2. Enter the Trailer number (unique, up to 32 characters; this is what drivers scan or type when they hook it).
  3. Choose the Type, Status (Active, In shop, Out of service or Retired) and Ownership (Owned, Leased, Rented or Customer / interchange).
  4. Optionally add the VIN (17 characters, the check digit is verified), Plate number, **Plate state / province, **Year, Length (ft), Make, Model and Notes.
  5. If the trailer has a telematics unit, choose its Provider and enter its Device ID (the unit's id at the provider; used to match imported readings).
  6. Select Add trailer.

To change a trailer, use the Edit button on its row or on its page and select Save changes.

Note: Trailers that are Out of service or Retired cannot be hooked. Setting a hooked trailer to one of these statuses drops it from its truck.

Hook and drop a trailer from the office

  1. On Trailers, select Hook on the trailer's row (or Hook to a truck on its page).
  2. Choose the Truck, optionally the Driver (optional), the Hooked at time (leave empty for now) and Notes (optional).
  3. Select Hook trailer.

If the trailer is already hooked to another truck, the dialog warns you, and that pairing is closed automatically.

To unhook, select Drop, optionally set Dropped at and Notes (optional), and select Drop trailer. The drop position is the truck's position at that time.

Trailer details

Select a trailer number to open its page. The tabs are:

  • Overview: the current pairing (truck, driver, since when and who recorded it), a location map, the trailer's details and the newest reading.
  • Pairing history: every hook and drop of this trailer, with duration and drop location.
  • Reefer (reefers): return air, discharge air and setpoint over the Last 24 hours or Last 7 days, with the lowest, highest and average return air and door openings, plus a table of readings.
  • DVIRs & loads: the last inspections and loads that list this trailer (when those features are on).
  • Documents: the trailer's registration, annual inspection and other documents (when the Documents feature is on). See Documents and DQF.

Add a reefer reading by hand

  1. On a reefer's page, open Reefer and select Add reading.
  2. Enter Recorded at and any of Return air, Discharge air, Setpoint, Ambient (all in °F), Door, Reefer unit and Reefer fuel (%).
  3. Select Save reading. Reefer temperature alert rules are checked right away.

Delete or retire a trailer

Delete (the trash button on the trailer's page) is only for a trailer entered by mistake. A trailer with pairings, readings or documents cannot be deleted: set its Status to Retired instead to keep its history.

Pairing history

Pairing history lists every hook, newest first, across the fleet: trailer, truck, driver, when it was hooked and dropped, and the duration. Filter by trailer, truck, driver or open pairings, and use Load more for older rows. Each pairing shows who recorded it: Driver (app), Office (portal) or Automatic (closed because the trailer was hooked to another truck). This page is read-only; hook and drop from the trailer pages.

Trailer telematics

Trailer telematics shows the reading sources and the trailers linked to a telematics device with their newest reading.

  • Manual entry and CSV import work today.
  • Carrier Lynx, Thermo King, ORBCOMM and SkyBitz are listed as partner integrations but are not available yet; they need a partner agreement and credentials. Until then, import their CSV export.

Import readings from a CSV file

  1. On Trailer telematics, select Import readings.
  2. Choose the file, or paste the CSV text, and set Temperatures in the file (°F or °C).
  3. Select Check file. Nothing is saved yet: EZ Logs suggests a column mapping and shows a preview.
  4. Adjust the column mapping if needed. Timestamp and either Trailer number or Device ID are required; the other columns (setpoint, return air, discharge air, ambient, door open, reefer on, reefer fuel, latitude, longitude) are optional.
  5. Review the counts and any rows that will be skipped, then select Import (the button shows how many readings will be imported).

After the import, EZ Logs tells you if any reefer alerts fired.

Reefer temperature alerts

If the Alerts feature is also on, you can create a reefer temperature rule that fires when a reefer's return (or discharge) air stays outside a range for a set time. The range is either the setpoint plus or minus a tolerance, or a fixed minimum and maximum. The alert resolves when the newest reading is back in range. Old backfilled readings (more than 2 hours old) never fire alerts. See Alerts and geofences.
