Reviewing DVIRs and certifying repairs

Review driver vehicle inspection reports, see defects and photos, and certify repairs before a vehicle is driven again (49 CFR 396.11 and 396.13).

For admins

What the Inspections page is for

Drivers complete pre-trip and post-trip driver vehicle inspection reports (DVIRs) in the ELD app, with defects and photos. The Inspections page lists every report so you can review defects, certify repairs and see that the next driver acknowledged them.

Open it from Drivers & fleet > Equipment > Inspections. The dashboard also has an Open DVIR defects tile and panel that link here.

Note: DVIR is an optional feature (DVIR (vehicle inspections)). It is on by default. If you do not see Inspections, the feature is turned off for your company; contact EZ Logs support.

Who can do what

  • Owner and Carrier admin: view reports and certify repairs.
  • Support (read-only): view reports only.

Find a report

  1. Open Drivers & fleet > Inspections. Reports are listed newest first.
  2. Filter by Vehicle, Driver, Trailer number, From and To dates, and Defects (All reports, No defects, Open defects, Repaired or repairs not needed).
  3. The list shows Inspected at, Type (Pre-trip or Post-trip), Driver, Vehicle, Trailers, Defects, Status, Safe to operate and Next-driver review.
  4. Select View to open a report.

Read a report

The report page shows:

  • Report details: inspection type and time, driver, vehicle, trailers, odometer, location, number of defects and the driver's remarks.
  • Defects: each defect with its component, whether it is on the Power unit or a trailer, the description and photos. Select a photo to enlarge it.
  • The driver's safety decision: Driver certified: safe to operate or Driver reported: NOT safe to operate.
  • Driver's signature.
  • Repair certification and Next driver's review.

Important: When a driver reports the vehicle is not safe to operate, do not dispatch it until the defects are repaired and the repair is certified (49 CFR 396.11(a)(3)).

Certify a repair

Each report with defects must be certified before the vehicle is operated again: either the defects were repaired, or repair is not needed for safe operation.

  1. Open the report and go to Repair certification.
  2. Under Certification, choose Repaired or Repairs not needed for safe operation.
  3. Enter your Name and the Date of repair / certification (home terminal date; not before the inspection and not in the future).
  4. Optionally add Notes (optional), up to 500 characters.
  5. Sign in the Signature box with a mouse, pen or finger, or select Use typed signature to sign with your typed name. Clear signature starts over.
  6. Select Certify repairs.

The report status changes to Repaired or Repairs not needed, and the certification shows who certified it and when. A report can only be certified once.

Next driver's review

After defects are reported, the next driver of the vehicle must review the report and sign it before driving, acknowledging the defects or the repair certification (49 CFR 396.13(c)). The Next driver's review card shows Pending, Acknowledged (with the driver, time and signature) or Not required when there were no defects.

Work orders from defects

With the optional Maintenance feature, each open defect has a Create work order button that opens a new work order with the defect linked. Completing the work order does not certify the DVIR: you still certify the repair on the inspection report. See Maintenance and work orders.

Record retention

DVIRs are kept for at least 3 months from the inspection date (49 CFR 396.11(a)(4)). The report page shows the date it is kept until.
