Portal users and roles
Who can do what in the EZ Logs portal, and how the owner invites admins, deactivates them and resets their passwords.
The EZ Logs portal has a small set of fixed roles. This page explains what each role can do and how the company owner manages the other office users from the Users page.
Roles
| Role | Who it is for | What they can do |
|---|---|---|
| Owner | The person who runs the account | Everything an admin can do, plus invite, deactivate and set passwords for the company's admins on the Users page. |
| Carrier admin (shown as Admin on the Users page) | Office staff, dispatchers, safety managers | Full use of the portal: drivers, vehicles, devices, logs and edit requests, settings, billing and every feature your plan includes. Can set passwords for drivers. |
| Support (read-only) | EZ Logs support staff helping you | Can open your portal and see everything, but cannot change anything. |
| Driver | Your drivers | Use the EZ Logs driver app. On the web they only get a read-only view of their own logs, certifications and edit requests, not the carrier portal. |
There are no custom roles or per-page permissions: every owner and admin sees the same portal. Pages for optional features (for example Dispatch, Safety or Driver pay) appear only when the feature is turned on for your company.
Important: Nobody, including owners, admins and EZ Logs staff, can change a driver's ELD records directly. Office changes are sent to the driver as edit requests or unidentified-driving assignments, and the driver must accept them in the app. See Logs and edits.
What only the owner can do
- Open the Users page and invite or manage admins.
- Click Upgrade to start a paid subscription after a free trial (see Billing and your free trial).
Owners and admins can both open Billing. Support users cannot.
Things an owner cannot change
- An owner cannot deactivate themselves, change their own role, or manage another owner.
- Your company always keeps at least one active owner.
- To move ownership to someone else, or to promote an admin to owner, contact EZ Logs support. Only EZ Logs staff can change the owner role.
Where to find it
Open Settings in the left rail, then Users under Carrier. Only the owner sees this menu item. Anyone else who opens the page sees "Only the carrier owner can manage users".
The page lists every owner and admin of your company with their role, status (Active, Deactivated, Invitation pending), Last sign-in and Created date. Your own row is marked "(you)" and links to Change your password.
Invite an admin
- Go to Settings > Users and click Invite admin.
- Enter their Email (this is their sign-in name for the portal), First name and Last name.
- Click Create invitation.
- Copy the One-time set-password link with Copy link and send it to them yourself, over a secure channel. EZ Logs does not email it for you.
- Click Done.
The link is valid for 72 hours and is shown only once. Until they set a password, their row shows Invitation pending. If the link is lost or expires, use Create reset link (below) to give them a new one.
Deactivate or reactivate an admin
- On the Users page, find the admin and click the Deactivate icon at the end of the row.
- Confirm with Deactivate. They are signed out everywhere straight away and can no longer sign in.
To let them back in, click Reactivate on the same row and confirm. Deactivated users stay in the list, dimmed.
Reset an admin's password
Use the key icon (Set password) on the admin's row, or the arrow next to it for more options:
- Set password: type a New password and Confirm new password. Leave Require change at next login ticked so they choose their own password the next time they sign in. They are signed out everywhere. Share the password with them over a secure channel.
- Create reset link: their current password stops working immediately and they are signed out. You get a one-time link, valid for 72 hours, to send them so they can choose a new password. Earlier links stop working.
Passwords must be 10 to 256 characters and must not be the user's email or username.
Driver passwords
Driver accounts are managed on Drivers & fleet > Drivers, not on the Users page. Owners and admins can use Set password or Issue temporary password on a driver's row. A temporary password is shown once; the driver signs in with it and must then set a new password. See Adding drivers.
Signing users out
The Sessions icon on a user's row shows where they are signed in and lets you sign out a device. See Sessions and sign-in security.
Read-only portal
If the subscription is past due, suspended, canceled or the free trial has ended, the portal becomes read-only and inviting or changing users is disabled. Drivers are never affected. See Billing and your free trial.
Note: Every invitation, deactivation, role change and password action is recorded in Compliance > Audit log.
